In this week\u2019s post we\u2019ll look at the reviewing tools in Microsoft Word that can be extremely helpful for proofreading a translation or giving feedback on any other kind of document.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I\u2019ll be using the first couple of paragraphs from a recent blog post that <a href=\"https:\/\/translationexcellence.com\/staging\/author\/ewillner\/\" data-type=\"link\" data-id=\"https:\/\/translationexcellence.com\/author\/ewillner\/\">Elisabeth Willner<\/a> wrote on <a href=\"https:\/\/translationexcellence.com\/staging\/translate-culture-birth-certificates\/\" data-type=\"link\" data-id=\"https:\/\/translationexcellence.com\/translate-culture-birth-certificates\/\">the importance of translating culture in birth certificates<\/a> to demonstrate how to use Word to review documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Below is a screenshot of the text (Note: I have edited the text to include mistakes).<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10824\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/ada11.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">OK, now that we have the text that needs editing in front of us, I\u2019m going to walk you through the different features of the \u201cReview\u201d tab on the top bar.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The first is the \u201cMarkup\u201d dropdown. Here is where you can find it:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10825\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/3-300x33-300x33-22.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">And here is what you\u2019ll see when you select the dropdown menu:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" class=\"wp-image-4677\" src=\"https:\/\/2022projects.timefortheweb.com\/translation-excellence-new\/wp-content\/uploads\/2017\/09\/4-1.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">What do all of them do, you ask?<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Simple Markup: Word will show you where changes were made (with a line on the left side) and will show comments as thought bubbles on the right side of the page. To see the changes, either click on the line or comment bubble, or select \u201cAll Markup.\u201d<\/li>\n\n\n\n<li>All Markup: This will show you everything. You\u2019ll see deleted characters with lines through them, added characters, comments, format changes, and more.<\/li>\n\n\n\n<li>No Markup: Shows what the final text will look like, with all changes incorporated.<\/li>\n\n\n\n<li>Original: Shows the original text, as it was before the changes were brought.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">I generally select \u201cAll Markup\u201d when I\u2019m proofreading or bringing changes to a proofread document since it is the most comprehensive. You can also select \u201cShow Markup\u201d under the \u201cMarkup\u201d dropdown (see first screenshot from this section) to customize exactly what you would like to see.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Next, you\u2019ll need to know how to track changes. You can access this under the \u201cReview\u201d tab (see screenshot below) or by using the <a href=\"https:\/\/translationexcellence.com\/staging\/microsoft-word-shortcuts-basics-2\/\">keyboard shortcut<\/a> \u201cCtrl + Shift + E\u201d.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10826\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/5-300x33-300x33-44.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Click on the little arrow to see the dropdown menu where you can toggle \u201cTrack Changes\u201d on\/off or \u201cLock Tracking.\u201d If you turn on \u201cTrack Changes,\u201d Word will record every change you make to the document. \u201cLock Tracking\u201d allows you to password protect the document so that other users cannot turn off \u201cTrack Changes.\u201d<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" class=\"wp-image-4679\" src=\"https:\/\/2022projects.timefortheweb.com\/translation-excellence-new\/wp-content\/uploads\/2017\/09\/6.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">If all you want to do is toggle \u201cTrack Changes\u201d on\/off, you can simply click on the image of the document and pencil.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter\"><img decoding=\"async\" class=\"wp-image-4680\" src=\"https:\/\/2022projects.timefortheweb.com\/translation-excellence-new\/wp-content\/uploads\/2017\/09\/7.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Now, any changes you make will be tracked. The example below shows the tracked changes I made in \u201cAll Markup\u201d view. The text underlined in blue is what I inserted, the crossed out text is what I deleted, and the note on the right shows that I bolded the text \u201cName order.\u201d<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"300\" height=\"125\" class=\"wp-image-10828\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/8-300x125-300x125-77.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">With \u201cTrack Changes\u201d set up, we can now move along to comments. The icons for comments are also found under the \u201cReview\u201d tab.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10829\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/9-300x33-300x33-88.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">To insert a new comment you can either select \u201cNew Comment\u201d or use the shortcut \u201cCtrl + Alt + M.\u201d Then, just type in whatever comment or question you have about the text. In my example, I put in a comment saying that we need to find a source for one of the statements in the document.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10830\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/10-300x123-300x123-99.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">So, now that we\u2019ve tracked our changes, deleted some words, added other words, changed some of the formatting, and inserted a comment, how do we review the changes and either accept or reject them?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Well, just like everything else, you can find the \u201cChanges\u201d section under the \u201cReview\u201d tab. Here you can accept or reject changes, as well as scroll through them.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10831\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/11-300x33-300x33-1010.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">You can also right-click on the change directly in the document and then select whether or not you would like to accept or reject the insertion.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10832\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/12-300x137-300x137-1111.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Same with format changes, if you right-click on them you can either accept or reject the change:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10833\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/13-300x126-300x126-1212.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, if you right-click on a comment you can either reply to a comment to get a conversation going, delete a comment, or mark the comment as done.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img fetchpriority=\"high\" decoding=\"async\" width=\"300\" height=\"197\" class=\"wp-image-10834\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/15-300x197-300x197-1313.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Once I accept all the changes (and in this case, I deleted the comment since I found the source), here\u2019s what we have for our final version of the document:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10851\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/15-300x197-300x197-2222.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">That covers all the basics for reviewing in Word however I do want to mention a couple of other things, without going into too much detail.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Proofing: These tools will check for spelling and grammar, provide you a word count, and allow you to look up definitions, synonyms, and antonyms of words.<\/li>\n\n\n\n<li>Language: These tools will allow you to change the language that you are writing in (Word provides the \u201cProofing\u201d tools in many different languages) and translate words as well. Note: We do not use the translation tool and therefore don\u2019t have any insight as to how accurate it is.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10837\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/16-300x33-300x33-1616.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Protect: This will allow you to protect your document from unwanted edits, comments, or any other kind of change.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" class=\"wp-image-10838\" src=\"https:\/\/translationexcellence.com\/staging\/wp-content\/uploads\/2023\/09\/17-300x33-300x33-1717.png\" alt=\"\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">There you have it, reviewing in Word in a nutshell.
