In last week\u2019s post, we looked into creating headers and footers and scraped the surface of having different headers and footers on different pages. Today we will go into this in more depth and I\u2019ll show you how to insert breaks into your documents to improve your formatting capabilities.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are two categories of breaks you can use in Word: <i>Page Breaks<\/i> and <i>Section Breaks<\/i>. <i>Page Breaks<\/i> include <i>Page<\/i> breaks, <i>Column <\/i>breaks, and <i>Text Wrapping<\/i> breaks, and <i>Section Breaks<\/i> include <i>Next Page <\/i>breaks, <i>Continuous <\/i>breaks, <i>Even Page <\/i>breaks, and <i>Odd Page <\/i>breaks. We\u2019ll start with <i>Page Breaks<\/i> and then move into the more powerful <i>Section Breaks<\/i>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Before we go any further, we need to talk about one key feature in Word that will allow you to better keep track of the breaks you use in Word. It is the <i>Show\/Hide<\/i> button under <i>Paragraph<\/i> in the <i>Home<\/i> tab. You can find it here:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here\u2019s an example of what it\u2019ll show you:<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In documents where you have multiple page or section breaks, this can be extremely helpful to distinguish between them and organize your document.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><b><span style=\"text-decoration: underline;\">Page Breaks<\/span><\/b><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Page<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are two different ways to insert the basic <i>Page Break <\/i>in Word. The first is to go to <i>Insert <\/i>then<i> Pages <\/i>and then<i> Page Break<\/i> and the second (and where the other six breaks are located) is to go to the <i>Page Layout <\/i>tab, click on <i>Breaks<\/i>, and then select <i>Page<\/i> under <i>Page Breaks<\/i>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now what will a <i>Page <\/i>break do you ask? Well, it\u2019ll simply move you to the next page without changing any of the formatting. Basically, it saves you the time of hitting <i>Enter<\/i> a bunch to move to the next page. To speed things up even more, learn the shortcuts!<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Microsoft: <b>Control <\/b>+ <b>Enter<\/b><\/li>\n\n\n\n<li>Mac: <b>Command <\/b>+ <b>Enter<\/b><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Column<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Great, now here I am in a document that has two columns. What can I do if I want to put a line or paragraph in the first column? Should I hit <i>Enter<\/i> a bunch of times? I would have two problems with that:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>I\u2019m lazy.<\/li>\n\n\n\n<li>What if I need to go back to the first column and edit something? This will then mess up the formatting and I\u2019ll either have to hit <i>Enter<\/i> again or use <i>Backspace<\/i> or <i>Delete<\/i> to clean up the white space (again, lazy me says that\u2019s waaaay too much effort).<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">So instead, insert a <i>Column Break (<\/i>select <i>Page Layout<\/i> then<i> Breaks <\/i>then<i> Column)<\/i>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once inserted, not only will the text shoot straight to the top of the column (see below), I\u2019ll also be able to edit the text in the first column without worrying about it affecting the second column (Unless the text overflows into the second column. Sorry, there\u2019s no helping you there.).<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Text Wrapping<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A <i>Text Wrapping <\/i>break will move any text that is next to an image (or table or anything else) below that image. Check out the example below of a page with an image that has text wrapped around it on the right:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What if I don\u2019t like how this looks? Maybe I think that this document would look better if our logo stood out a little more. So, I\u2019ll insert a <i>Text Wrapping <\/i>break<i> <\/i>(select <i>Page Layout Tab <\/i>then<i> Breaks <\/i>then<i> Text Wrapping)<\/i> so that all that text to the right of it moves below.<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This could also be accomplished by hitting <i>Enter <\/i>several times, but again, we\u2019re lazy, and again, what happens if you edit the text?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here is what we get after inserting the break:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is just one example of using the <i>Text Wrapping <\/i>break. It can also be especially useful if you have two paragraphs next to an image and you want to push the second paragraph down below the image.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><b><span style=\"text-decoration: underline;\">Section Breaks<\/span><\/b><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You probably have already noticed that under the <i>Page Breaks <\/i>section under <i>Breaks<\/i> in the <i>Page Layout<\/i> tab there is a <i>Section Breaks<\/i> section. These kinds of breaks are best for separating different sections in your documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Next Page<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The <i>Next Page<\/i> break is similar to the <i>Page <\/i>break; however, along with moving you to the next page, it also separates the formatting between the two pages. So, say we want one page to be in portrait and the next one to be in landscape, how can we do that?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Start by inserting a <i>Next Page<\/i> break.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Put your cursor on the new page and select <i>Orientation<\/i>&nbsp;and <i>Landscape <\/i>(just to the left of <i>Breaks<\/i>). And then, well, that\u2019s it!<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\">&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These <i>Next Page<\/i> breaks can be great for inserting a <i>Landscape <\/i>page in longer documents if you want to insert a wide table, image, or anything else!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Continuous<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What if you want the top of the page to be one column and the bottom to have two columns? You can insert a <i>Continuous <\/i>break, as depicted below. This will insert a <i>Section Break<\/i> (allowing you to change the page formatting), but will not move you to the next page (like the <i>Next Page<\/i> break).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then, just select <i>Two<\/i> under <i>Columns<\/i> (with your cursor where you want the columns to begin) and voila!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In what other ways do you think you could use the <i>Continuous<\/i> break?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Even Page\/ Odd Page<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Inserting an <i>Even Page <\/i>or <i>Odd Page <\/i>break will insert a new <i>Section Break<\/i> and then begin that new section on the next even or odd page. In the example below, I have inserted an <i>Even Page <\/i>break. As you can see, page seven is eliminated and the document goes straight from page six to page eight. This kind of section break could be useful if you\u2019re writing a book and would like each new chapter to begin on an even or odd numbered page.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once you\u2019ve inserted it, here\u2019s what the <i>Even Page <\/i>break does to the first page:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And here\u2019s the next page:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">See how it says \u201cPage 8 of 9\u201d at the bottom instead of \u201cPage 7 of 9\u201d?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span style=\"text-decoration: underline;\">Applying Section Breaks to Headers and Footers<\/span><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Last week I promised that we would go over how to use breaks with headers and footers in conjunction with <i>Page Breaks<\/i> and <i>Section Breaks<\/i>. However, this post is running a little long so instead, I\u2019m going to challenge you to solve it yourself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here\u2019s the challenge: How can you use <i>Section Breaks<\/i> to have multiple headers and footers in the same document?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you think you\u2019ve figured it out (or if you\u2019re struggling), post in the comments and let me know what you\u2019ve come up with.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, I\u2019ll leave you with this thought. The average user of Microsoft Word <a href=\"http:\/\/money.cnn.com\/magazines\/business2\/business2_archive\/2006\/04\/01\/8372803\/index.htm\">only uses 10% of the functionalities<\/a>.
